We are currently seeking a Relationship Coordinator to be part of the Advisor Relations Distribution team to assist with day-to-day administration and client service activities. This individual will assist the Distribution team in their day-to-day sales activities enhancing the client experience and creating efficiencies. This role will serve as operational and administrative support to our Advisor Relations Team. The responsibilities of this position will demand an acute attention to detail and the ability to handle confidential and sensitive information, as well the ability to continuously balance multiple priorities and work within a team environment.


  • Lead CRM system data entry process and maintain CRM system integrity
  • Create campaigns in the CRM system for more targeted and efficient marketing
  • Manage regular Distribution requests including peer comparison reports, presentation material requests, account processing assistance, and operational inquiries
  • Analyze daily reports and provide insights and follow-up opportunities for Distribution team
  • Conduct industry analysis to assist Distribution with prospecting efforts
  • Assist the Advisor Relations team with on-going monthly/quarterly client reporting and any ad-hoc requests
  • Provide administrative support to the Advisor Relations team including meeting preparation
  • Work with client firms to get Polen marketing materials approved for use with their advisors
  • Communicate and work with various internal departments/teams in preparation for client meetings/projects/tasks
  • Actively contribute to the Advisor Relations team projects


  • 0-3 years relevant work experience, preferably at an asset management firm
  • Bachelor’s degree in business/finance or related field • Previous RIA or financial services firm experience (preferred) • Experience with MS Office products including Outlook, Excel, Word, and PowerPoint • Knowledge of a CRM systems a plus
  • FINRA Series 7 and 63 licenses, or ability to become licensed within 6 months of firm employment
  • Ability to multi-task, manage time effectively, and work unsupervised
  • Highly skilled in proactivity, organization, and attention to detail
  • U.S. Permanent Work Authorization
